a. About translations

TRANSLATION SERVICES CANCELLATION POLICY

• If the client cancels a translation service after payment has been made, a partial refund will be issued. Twenty-five percent (25%) of the total amount will be retained to cover administrative costs, in addition to the pages already translated at the time of cancellation.

• The client has 30 minutes after confirming payment to cancel without penalty and receive a full refund. After this period, the cancellation policy will apply.

• For urgent translations, this policy applies immediately upon payment confirmation.

• Refunds will be issued using the same payment method originally used and may take up to seven (7) business days to process.

Translation services are based on language combinations and translation units. Below are details of the language translation services available to Translators Ecuador users:

Language groups help us determine the complexity of translation in relation to the Portuguese market:

ii. Calculation Units

Our prices are based on the “Per Page” translation price, which is determined by the language combination. Our translation unit (“per page”) has a limit of 250 words per unit.

Exceptions: For languages that use non-Latin characters, a fee equivalent to the language group will be established. In the case of special format translations (DTP), the editing complexity of the requested service will be analyzed. This analysis will not only consider the number of words or pages, but also the editing time required by the professional (DTP).

iii. Type and Delivery Time

The delivery time for the requested service is determined by the number of pages and calculated within our systems or by special request from customers. A working day is considered a normal day of the week, excluding weekends and holidays.

Customers can choose between two types of delivery. Standard Delivery” has variable delivery days, while “Urgent Delivery” has a fixed delivery day.

iv. Rates for Translation Service with Standard Delivery

v. Additional Costs for Language Translation Services

Specialized Translations: In this type of translation, an additional amount is added per page/word taking into account the area of translation.

Special Format Translations (DTP): In this type of translation, an additional charge is added due to the complexity of the edition of the publication to be translated.

Official Translations: This type of translation includes the addition of values corresponding to the translated document, such as certifications, declarations, notarizations, apostilles or legalizations, or any other validation carried out by public or private institutions.

b. About Interpretation Services

INTERPRETATION SERVICES AND EVENT CANCELLATION POLICY

1. Scope of Interpretation Services
This policy applies to all in-person and remote interpretation services provided by Translators Ecuador, as well as to events, meetings, conferences, and related services.

2. Service Reservation and Confirmation
To proceed with a reservation and for this policy to be applicable, it is essential to confirm the scheduling by making full or partial payment for the service, as quoted.

Translators Ecuador may accommodate last-minute requests, subject to resource availability. However, in such cases, the Cancellation Policy shall not apply, and amounts paid shall be non-refundable.

For urgent translations, this policy applies immediately upon payment confirmation.

3. Minimum Contracting Time
The minimum time required to contract an interpretation service is two (2) hours, which will be billed in full even if the service is used for a shorter period.

4. Service Start and Time Calculation
For in-person or remote interpretation, the contracted time begins at the scheduled start time of the event, regardless of whether interpretation is actively taking place.

5. Schedule Extensions and Hour Fractions
If the service extends beyond the contracted time, the following conditions apply:

• Overtime between 5 and 29 minutes: half-rate (half hour) will be charged.

• Overtime of 30 minutes or more: a full rate (one hour) will be charged.

6. Additional Meetings Outside the Event
If the client wishes to hold an additional remote or in-person meeting with the assigned interpreter, different from the originally quoted, scheduled, and paid event, the client must:

• Notify Translators Ecuador in advance to check interpreter availability.

• Schedule the meeting exclusively through Translators Ecuador.

If availability is confirmed, the corresponding fees for the additional time used will be charged, applying the regular hourly rate or fraction thereof.

For in-person meetings, additional associated expenses will also be billed, including but not limited to:

• Round-trip transportation

• Meals

• Interpreter lodging, when applicable

7. Types of Events
For the purposes of this policy, events are classified as follows:

• Short Events: 1 to 7 hours

• Medium Events: 1 to 5 days

• Long Events: more than 5 days

8. Cancellations Prior to the Event
The client must notify the cancellation at least two (2) business days in advance, excluding weekends.

If this notice period is met, a 100% refund will be issued, less:

• Bank fees

• Taxes

• Other applicable administrative charges

The refund will be made using the same payment method and may take up to seven (7) business days to process.

9. Cancellations Within 2 Days Prior to the Event (Including Weekends)
In the event of cancellation within two (2) days prior to the event, the equivalent of one (1) full day of services will be charged, including but not limited to:

• Interpreter fees

• Interpretation equipment

• Event staff

• Transportation fees

• Equipment installation and dismantling

• Transportation, lodging, and subsistence expenses of professionals

10. Cancellations During the Event

10.1 Cancellation by Translators Ecuador
In the event of service failures (incomplete equipment, interpreter unavailability, or other issues), Translators Ecuador commits to managing the appropriate replacements, which may take up to one (1) business day for Spanish and English language combinations.

For other language combinations, replacement options are limited.

If a satisfactory solution is not achieved, only the time effectively provided will be billed, and the remaining amount will be refunded, less event-related expenses.

10.2 Cancellation by the Client
If the event is canceled for reasons attributable to the client during its execution, the equivalent of one (1) full day of services will be charged, including all operational costs, professional fees, and associated expenses.

11. Acceptance of Terms
The contracting of any service offered by Translators Ecuador implies the express and full acceptance of this policy, which forms an integral and inseparable part of the company’s Terms and Conditions / General Conditions.

ii. Calculation Units

Our prices are expressed “Per Hour”, “Per Day”, “Per Week” and “Per Month” depending on the language combination, and take into account the following characteristics:

Per Hour: Interpretation services will take place on a single day and at a time to be defined, with a maximum of 8 hours per day, between 06:00 and 22:00 in Continental Ecuador time (GMT).

Per Day: Interpretation services will occur on two or more (2+) days at a time to be defined, with a maximum of 8 hours per day, between the hours of 06:00 and 22:00 in Continental Ecuador time (GMT).

Per Week and Month: will be discussed, agreed upon, and negotiated with our customers.

Exceptions: If you have specific needs other than the options available in the calculation units for the Language Interpretation Service, please contact us via the contact form. For requests that exceed 5 days, please also use the contact form.

iii. Additional Costs for Interpretation Services

Travel: If the interpretation services take place in an area without local language professionals, an additional cost will be established.

Accommodation: If the interpretation services take place in an area without local language professionals and the assigned professional’s service lasts more than one day, an accommodation cost per day will be established.

Equipment: For simultaneous interpretation services, the interpretation equipment needed to provide the service will be evaluated on a case-by-case basis and included in our quotes.

c. About Transcription Services

Transcription services vary in price depending on the complexity of converting audio or video to text, whether the text needs to be translated into a language other than the original, and whether you want to add specific captioning features in the case of a video. Below are details of the language transcription services available to Translators Ecuador users.

i. Service Groups

Among our transcription services, we have:

Transcriptions: These are language services that transcribe spoken audio or video into written text. The resulting text can be translated into other languages.

Subtitles: These language services involve transcribing the audio content and synchronizing it with the original video. In addition, they can be used to translate the content into other languages.

ii. Language Groups

iii. Units of Calculation

Our prices are expressed “per minute” and “per hour”, which vary depending on the service group and whether a translation is required. The following characteristics are taken into consideration:

Transcription per Minute: The transcription is determined by calculating up to 59 minutes per language group or combination of language groups.

Hourly Transcription: Transcription is calculated at a rate of one hour per language group or combination of language groups.

iv. Additional Costs of Language Transcription Services

Text Format: Additional charges will be added to Transcription Services depending on the text format:

• Literal Transcription: In this type of transcription (Verbatim), all the sounds heard in the audio or video are written in the document, including unfinished words, repetitions, pronunciation errors, such as “cocreta (concrete)”, sounds like eh…, mmmm…. This type of transcription is usually requested in trials and expert evidence.
• Natural transcription: In this type of transcription (Verbatim Clean), the transcriber removes all irrelevant information, resulting in a more natural, clear, and professional text. The words or the meaning of the sentences are not changed under any circumstances.

Number of Speakers: Additional charges will be added to the transcription service when there are more than two people participating in the audio to be transcribed.

Audio Quality: Additional charges will be added to the transcription service if the audio is of poor quality or the accent is very pronounced.

Closed Captions CC: Additional charges will be added to the transcription service if you need to add a transcript to an audio or video.

Time Markers: Additional charges will be added to the transcription service if you need to add markers at specific time intervals, depending on the quantity.

Open Subtitles: Additional costs will be added to the transcription service if the subtitles need to be integrated with the video.

Delivery Time: Additional charges will be added to the transcription service if you need the service delivered within a specific time frame.

Translation: Additional charges will be added to the transcription service if you need your transcript translated into a language other than the original.

d. About Specialized Services

Specialized language services involve the intervention of specialized language professionals who combine their techniques with other areas, such as elocution or cultural knowledge of a language. Below are details of the specialized language services available to Translators Ecuador users:

Voice Over (Narrative): This specialized language service is an audiovisual translation technique. First, the narrative content scripts are translated and then recorded by native speakers on the original audio track.

Localization in Translation: According to the Localization Industry Standards Association (LISA), localization of content in translation involves modifying or adapting the original content to create new content that can be understood in the culture where it is intended to be used.

e. About Official Procedures

Official Procedures are services that involve the intervention of language professionals. These professionals combine their services with procedures in institutions to validate the documents that need to be translated. Below are details of the Official Procedures for Translators Ecuador users:

Apostille or Legalization: This official processing service manages the certification of public documents issued by a state, which will be presented by the user in other countries, in order to grant them validity abroad. The apostille includes legalization, making consular or diplomatic legalization or any other additional certification unnecessary.
